Serves a lead clerical staff member in coordinating departmental or physician office operations. Responsible for the document preparation, information management, and administrative scheduling. May be assigned special projects and/or direct work
assignments of other clerical staff.
Documentation Preparation and Management
Prepares reports, manuscripts, meeting minutes and/or correspondence.
Reproduces reports, journal articles, and other material as required by assigned activities.
Organizes and maintain electronic and hard copy files and records.
Utilizes computer software tools to manage documents and information as required by assigned activities
Schedules appointments and/or meetings as instructed.
Prioritizes daily, weekly, monthly, and annual activities to meet deadlines.
Coordinates departmental calendar and integrate schedules as required by assigned activities.
Coordinates travel arrangements according to supervisory instructions.
Provides continual coverage for assigned phone lines daily, transfers calls and records messages as instructed.
Routes reports, correspondence and other material via interdepartmental and other mail delivery services.
Orders materials and requisitions services as needed.
Requisitions stock and non-stock items as needed with authorized approvals within prescribed deadlines.
Operates and maintains office equipment according to hospital policy and procedures.
Requisitions supplies to ensure that delivery is made within specified guidelines.
Assists the Vice President and Director of Ambulatory Care with special projects.
Types, updates and distributes policies and evaluations within the required timeframe.
Coordinates meetings for the Vice President and Director which includes preparing agendas, making room reservations and making arrangements for food when appropriate.
Requests checks for workshops, membership dues, etc. for the Ambulatory Care division.
Serves as a liaision between Ambulatory Care Services and other hospital departments, physicians' offices and parents/families.
Serves as Lead on Departmental Activities
Participates in the interview and hiring process as requested.
Provides instruction and orientation to clerical personnel as required.
Provides input on employee performance based on assigned responsibilities.
High school or GED equivalent; college course study preferred.
Five (5) years of ADMINISTRATIVE clerical experiences required.
Must be able to type 45 wpm with 5% or less error rate.
