Receptionist/Office Assistant

This position is responsible for receiving and directing visitors, vendors, and customers to appropriate locations and parties as well as notifying personnel of visitor arrival. Assistant will operate a multi-line phone system and direct calls appropriately. Will serve as backup for accounts payable functions and provide general clerical assistance when needed.


•Two years of reception experience (or equivalent customer related ability).
•Proficient in Microsoft Office, specifically Excel, Word and PowerPoint.
•Excellent written and oral communications skills.
•Excellent customer relationship skills.
•Possess good organizational skills and ability to work independently.


The essential functions include, but are not limited to the following:

•Answer, assist and direct all incoming telephone calls to appropriate parties in a professional and courteous manner.
•Perform related clerical work such as typing, filing, sorting mail distribution.
•Use applicable software programs to create letters, logs and other business-related documents.
•Prepare shipping labels and order FedEx and/or UPS pickups and deliveries.
•Coordinate scheduling and ensure conference rooms are organized and tidy.
•Provide administrative support including general clerical assistance to Heartland staff when needed.
•May coordinate businesses lunches and other related duties.
•Assist with special event planning.
•Order office supplies.
•Maintains highest level of confidentiality.
•Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the company to outside parties.
•Mail accounts payable checks on a weekly basis.
•Serve as backup in processing bills for payment through accounts payable.
•Serve as backup for maintaining accounts payable files and records.
•Serve as backup for researching and resolving accounts payable related items.
•Serve as backup for preparation and posting of entries to general ledger relating to accounts payable.
•Track and maintain Two3 Program.
•Track and maintain Shining Star Program.
•Various projects and duties as assigned.


•Job Environment: Office located in Little Rock, AR with some face-to-face customer and vendor contact, telephone contact with employees, vendors and customers.
•Equipment Used: Adding machine/calculator; telephone; Microsoft Office (especially Microsoft Word, Excel and PowerPoint), platform system, printer; fax machine; copier/scanner.
•Physical Criteria: Office location may require ability to descend/ascend stairs; and walk from parking lot; bending to retrieve and or place files in file drawers, on shelves, under desk, and/or on cart; lifting files/office supplies up to 25 lbs.; sitting for long periods of time; extensive computer work; must be able to adequately hear and verbally communicate with employees, vendors and customers face-to-face and over the telephone.
